POSITION SUMMARY:
As the Night Front Desk Agent at the Gibson Inn, you'll play a key role in maintaining the smooth operation of the inn during evening and overnight hours. While guest activity slows, your focus will shift to essential administrative tasks like balancing daily revenue, preparing reports, and ensuring the property is secure and ready for the next day.
You’ll also handle late check-ins and early departures, respond to guest needs, and answer phones and emails that come in during your shift. Attention to detail is important, especially when restocking supplies, organizing front desk materials, and preparing for the morning team’s arrival.
This role requires someone who is dependable, detail-oriented, and comfortable working independently. If you take pride in keeping things running efficiently behind the scenes, this is a great opportunity to support a seamless guest experience at the Gibson Inn.
RESPONSIBILITIES:
- Balance daily revenue: Reconcile guest folios and ensure all charges (rooms, food, incidentals) are properly posted
- Run end-of-day reports: Generate audit reports
- Close the business day: Process the night audit in the PMS (Property Management System) to roll the system to the next day.
- Verify payment transactions: Ensure credit card authorizations, direct bills, and cash payments match records.
- Correct discrepancies: Investigate and resolve any billing or posting errors.
- Check-in/check-out guests: Handle late arrivals or early departures.
- Respond to guest requests: Fulfill or escalate maintenance issues, extra linen needs, wake-up calls, etc.
- Answer phones and emails: Provide assistance or forward messages to appropriate departments.
- Monitor guest activity: Ensure safety and report any suspicious behavior or policy violations.
- Prepare for morning shift: Ensure the front desk is restocked and tidy for day staff.
- Coordinate with housekeeping/maintenance: Note rooms needing special attention or follow-up.
- Monitor lobby and premises: Conduct periodic property walkthroughs for safety and security.
- Secure cash drawer: Count and log the cash Restock and organize supplies: Front desk materials, forms, key cards, etc.
- Log shift notes: Leave a detailed handoff for the morning staff (e.g., unresolved issues, VIPs, maintenance needs).
- Secure cash drawer: Count and log the cash drawer, make drops if required.
- Lock up sensitive areas: Secure storage rooms
QUALIFICATIONS:
- Work experience as a hotel receptionist in the hospitality industry or customer service is preferred.
- Excellent oral and written communication skills.
- Task-driven and highly organized, with strong problem-solving skills.
- Proven multi-tasker with the ability to shift and manage multiple priorities.
- Trustworthy with a willingness to maintain confidentiality.
- High school diploma/GED required.
